How to De-Board a Client
Task Checklist
We rarely de-board clients, but here are the steps to take when we have to.
Things that you will need:
- Confirmation from an account manager to de-board a client.
- Access to the Access Tracker for Non-Team Members.
- Admin access to assets, such as Basecamp, Google Drive, etc.
Steps:
- Remove the client from Basecamp
- Remove the client from Google Drive
- Remove the client from Meta Business Manager
- Unlink the client on Google Ads
- Remove our access to the client's Google Analytics account
- Remove our access to the client's Google Tag Manager account
- Remove the client from our website
- Remove the client from the Academy
- Remove the client from the Facebook groups
Important Things To Consider
Step 1: Remove the client from Basecamp
Remember that clients almost always add their team members to their projects. So when you remove a client from Basecamp, ensure that you remove their team members, too.
Rename the project by adding XXX to the beginning of the project name.
Find the accounts and delete them.
Input the name in the space provided. When you find the account, click the three-dot menu on the right side of the name and select "Edit Info." Lastly, confirm that you want to remove the account as shown in the second screenshot below.
Step 2: Remove the client from Google Drive
Step 3: Remove the client from Meta Business Manager
Confirm with the account manager if we should remove our access to the client's Google Ads, Google Analytics, and Google Tag Manager before continuing with this section.
Step 4: Unlink the client on Google Ads
Step 5: Remove our access to the client's Google Analytics account
Step 6: Remove our access to the client's Google Tag Manager account
For the succeeding steps, you do not need confirmation from the account manager as long as you received instructions to de-board a client.
Step 7: Remove the client from our website
It could happen that a client was given an author account on our website, so you should check for that as well.
Log into WordPress, and go to "Users." Search for the client using his email or given name. If you find an account for that client, put a tick on the checkbox next to his avatar and click on "Delete."
Step 8: Remove the client from the academy
All clients are automatically given access to the academy. Follow the steps below to delete a user account.
Log into the academy, and go to "Users." Search for the client using his email or given name. If you find an account for that client, put a tick on the checkbox next to his avatar and click on "Delete."
Step 9: Remove the client from the Facebook groups
Check these Facebook groups to see if the client and his team are members:
Go to "Members." Search for the client using his email address or given name. Remove the client from the group if he is a member.
That's it. You're done. Good job!
Verification Checklist
You'll know that you de-boarded the client and his team correctly when you can say yes to all the items below.
- The client's project was renamed by adding XXX to the project name.
- The client and his team are no longer on Basecamp.
- The client and his team no longer have access to Google Drive.
- You've checked all the files in the client's project to ensure that they no longer have access to other files. It may happen that a team member created a file on his drive and shared it with the client.
- The client was removed from Meta Business Manager.
- The client was unlinked from our Google Ads account.
- We removed our access to the client's Google Analytics account.
- We removed our access to the client's Google Tag Manager account.
- We removed the client's account from our website.
- We removed the client's account from our academy.
- We removed the client from our three Facebook groups.
- You updated the Client Tracker.
